Table notes

Restaurant chair upholstery selection starts with where the spill lands

In this guide

Take a chair seat at 18 inches and a table edge at 30. The 12 inches between them is the drop, and whatever leaves the fork on the way down lands on the seat, not the back. That geometry settles more of an upholstery decision than any color card, and it is the place to begin.

The back has a different life. It meets shoulders, jackets and the odd hand, seldom a sauce, and it is the part of the chair a guest sees across the room. A dining chair therefore asks two questions, one for each surface, and some of the chairs we list let you answer them separately.

Three numbered cards read the seat takes the drop, the back takes the touch, and test the swatch. A note says to order vinyl below and fabric above where the chair lets you choose the two apart.
The seat takes the drop, the back takes the touch, and a swatch settles the rest.

Vinyl, fabric or both on the seat

Vinyl wipes down between seatings and wants nothing more than a cloth and a cleaner that suits it. Fabric is softer under a long evening, quieter against clothing and warmer to the touch, but it holds a spill longer before the cloth gets there. The choice follows the service. A room that turns tables quickly wants a seat that clears in seconds; a room where parties linger can afford a seat that is pleasant to stay on.

The wood-framed chair with a padded back and seat lists 46 vinyl choices and 92 fabric choices, and it treats the back and the seat as two decisions. That allows the sensible split: vinyl on the seat, fabric on the back, so the part that takes the drop wipes clean and the part that faces the room carries the texture. The chair measures 19 inches wide, 22 deep and 33 high, with an 18-inch seat, and its listing shows BIFMA certification. Fabric is mostly a wood-frame option: 22 of the 25 upholstered-back wood chairs list it, against 8 of the 63 upholstered-back metal chairs.

Seams, welts and buttons

Look at the chair from the side. A seam is where crumbs settle and where a cloth skips. Welt, the cord that finishes an edge, is a seam standing proud, and a channel back is a row of them. The channel-back chair in vinyl lets you choose the welt color apart from the back, a way to bring a line of contrast into the room without adding any fabric. Button tufting trades the same way in miniature, with a small well at every button.

A smooth seat clears fastest. Keep the channels and buttons for backs, where nothing lands.

Color and the light you serve in

Color hides what texture shows. A mid-tone forgives a cloth's missed spot, and a flat pale color forgives nothing. Pattern helps in the same way: a small weave or a grain in the vinyl hides a mark that a flat color shows to the whole room. Evening light, low and warm, changes how a color reads, so judge the swatch in your own room at the hour you serve. Swatches cost nothing and travel by UPS Ground. Ask for them on the samples page, and a confirmation email follows within one business day.

Test the swatch the way the room will treat it. Put a teaspoon of the sauce you pour most on it, leave it through the length of a dinner, and wipe it with the cleaner your staff will carry. Then look at what is left. The same questions apply to the booth upholstery beside the chairs, and the answers should agree.

The cleaner belongs in the specification

Settle the cleaning agent before the chairs arrive. The warranty covers defects in materials and workmanship at delivery, and it excludes damage from the wrong cleaning agents, along with misuse and normal wear. The bottle on the closing shelf is part of the purchase. Put three lines on the closing checklist: the cleaner by name, how it is used, and where the bottle is kept. Staff come and go, and the habit should live on the page, not with whoever ordered the chairs.

The warranty term depends on the chair. Metal chairs without a swivel carry a warranty of seven years; wood chairs run from three years down to one, with the period shown on each product page where it is clear. A defect you find at delivery goes to us in writing within three days, with photos of the full item, the defect close up and the labels.

Reorders need care too. Upholstery color lists change over time, so before you add chairs to a room that already exists, request a new swatch and settle the color name first. A metal chair with a short vinyl list, like the vinyl-covered metal chair with four colors, is the easiest to reorder because there are only four to match. Most of the upholstered-back metal chairs list vinyl alone, so most of them reorder as simply.

A 48-chair room, specified twice

Imagine a 48-chair room with a front section of 32 chairs under low light and 16 along the pass, where traffic is heavy and the closing crew moves fastest. Specify the 32 with a vinyl seat and a fabric back, and the 16 with vinyl on both. That is two lines on the order, 32 and 16, because a line is one configuration and a different back is a different line. Check the tally against the plan before you submit: 32 plus 16 is 48. The split puts the tougher cover where the cloth works hardest, along the pass, and the softer one where guests will linger through the second hour of dinner.

The mistake worth avoiding is choosing the cover from the picture on the page. A screen cannot show the hand of a fabric or the depth of a color, and the swatch costs nothing to ask for. The upholstered chairs split about evenly between vinyl only and a choice of the two, so the swatch is also how you find out which side of that split your room belongs on.

Run the swatch test this week

Ask for a swatch of each of the two covers you are weighing, and run the sauce test from the color section on both. Judge the cover that looks right the morning after, not the evening before. How a chair feels under a guest is a separate test, and evaluating chair comfort walks through it.

When a cover passes, write its color name on the swatch envelope and keep it with the order. Chairs with arms are the next question, and the armchair and side chair comparison covers where those belong. When a chair needs replacing in a year, the envelope is the match you will hold against a fresh swatch.
